Hosting Events

Exhibitors have the option to hold a tournament at UK Games Expo, choosing to host from their stands (UKGE does not ticket these events, and so the promoting and organising of these events are solely the responsibility of the exhibitor. )

or in the UK Games Expo's event space in Hall 4.

If you wish to run an event in the UKGE tournament space, you have TWO options when submitting:

(1) Submitting Tournaments into the UKGE hosted Event Space

(2) Renting dedicated Exhibitor Event Space

Exhibitors can now hire event space in our tournament halls and event rooms to run ticketed tournaments and on-demand events. The advantage of this arrangement is that this is dedicated space which is yours for the duration of UKGE and there is more flexibility on the events you can undertake there-in.

Costs

Our charge is £17+vat per sqm of event space. This rate is for the floor space only.  You may hire furniture, covering cloth and power for these areas (see exhibitor guide for rates).

The space differs from normal exhibition space and you must carefully consider your requirements as all conditions will be strictly enforced.

• The space is for organised play events only.  This includes tournaments, draft and on-demand events.
• It may not be used for free-to-play demonstration or learn-to-play events. (These types of events should be undertaken within your demo space).
• Each event in this area must be a tournament or other competitive event subject to an event ticket fee (which the exhibitor will keep) - see Event Ticket Fees below).   
  Nominal fees to try and circumvent this rule will be deemed as a breach of these rules by the organisers
• Exhibitors must promptly submit event outlines for approval by UK Games Expo. Approved events must have a fee to play, including product purchases, and cater towards experienced players. It is important to note that applications for events that are free and intended for beginners may face rejection.
• You can not sell ANY items from this space except products required to play the event and then only if it's included as part of the ticket price.  Subsidiary products cannot be sold from this space.
• This space may be used as per the access times listed below.
• The allocation of tournament space is wholly at the discretion of the UKGE both in advance and on the day.  The layout will also be decided by UK Games Expo.

Remember: Carrying out activities and staging events which are not under the agreed terms may lead to the termination of the activities and forfeiture of the space.

Access times
This space would be available for your access from 8.00 a.m. each day until 11.30 p.m. on Friday 30th May and Saturday 31st May and from 8.00 a.m. until 5.00 p.m. on Sunday 1st August. Note visitors can gain entry at 9.00 so we recomend events begin at 9.30 at the earliest.

Ticket Fees
All players would need a UK Games Expo entry ticket for the day(s) of your events in order to enter the hall but we would not charge for any of your events.  You decide on the fee you wish to charge for your events (some suggested figures are given below), we will collect this fee and you invoice us for this fee (minus VAT).

Guidelines on minimum fees for your events:

• After submittal, you can still amend the fee for your event (subject to our prior approval).
  Here are some suggested event prices:
• On-demand constructed ccg events: - £3+.
  (The players must own the required deck of cards).
• Booster draft: £3+ the cost of the booster.
  (You provide the boosters at the event space).
• Card, Board game and Miniatures Tournaments: £1/hour of the event.  
  E.g. A seven-hour tournament would cost £7.

Listing and Promoting your events
The event(s) can be submitted by you and listed on our website. We would promote the events on social media and emails. We can also link to your own events pages.
