Community Tournament Events

We invite you to submit an event for the UKGE Event Space.

This could be a card, dice, or board game tournament, a multiplayer team event, or a social deduction game, also known as Mega Games or LARPs.

Requirements

  • You do not need to be part of an official play organisation to host an event. Many passionate community groups or individuals arrange events to support their gaming communities.
  • We do not accept submissions for Learn to Play, Casual, Fire on Demand, or ad-hoc events, and demonstration events are unsuitable for the Tournament and Gaming Schedule.
  • The events most likely to be accepted are those that serve a player base interested in a specific event over a defined period. While prizes or trophies are not required, we encourage events that celebrate the joy of gaming!

Applying to run a Community Tournament

  • If you think you have a tournament or event that has a player base and subsequent demand for it, then first email millie@ukgamesexpo.co.uk, who will explore the idea further with you.
  • If your event is accepted, you will be asked to submit your event via the “Events System” on the UKGE website. (You will need a UKGE account for this).
  • Your email will also be added to a mailing list so that we can easily communicate event information to all hosts. This will only be used for the year you have events in the Tournament or Gaming schedule.
  • If you unsubscribe from this mailing list, you will not receive the information you need to run your event.

Listing and Promoting Your Event

  • We will promote the event schedule through social media and email communications.
  • Additionally, we may highlight your event leading up to the UKGE dates. It is also important for you to promote your event to your player communities.

Costs

► You can run an event in the UKGE Event Space at no cost. UKGE will set a ticket price based on the space required and event duration.

► If ticket sales are low, we may cancel the event and refund any sold tickets.If you need consumables or prizes, these costs can be included in the ticket price, and you'll invoice UKGE for reimbursement afterwards.

► We will discuss costs before final approval and may ask you to share resources with other events to keep expenses down.

Umpires

► We will provide complimentary UKGE entry tickets for umpires based on the number of players and event duration.

► For large multi-day events, we may also offer shared accommodation for umpires at a hotel near the NEC, not necessarily the Hilton

Ticketing

► All players must have a valid UK Games Expo Entry ticket for the days of their events to enter the hall.

► Umpires must check that players have both a UKGE entry ticket and an event ticket. If a player lacks the necessary tickets, they must purchase them before participating; otherwise, they cannot play.

► Umpires must ensure that each player presents a valid event ticket in addition to their UKGE entry ticket.

► If a player does not have both tickets, they must purchase the necessary event ticket before they can participate in the event; otherwise, they will not be allowed to play.

Setup & Breakdown

► You will be able to access your event space approximately 60 minutes before your event begins. Please note: there may be another event concluding in the area at the same time.

► If your setup requires a significant amount of time or space, please include these details in your submission. We can arrange for additional time between events to accommodate your needs.

► You are required to pack up your event within 60 minutes after its conclusion and to cooperate with other events that may take place immediately after yours.

In show

► The space will be available for the duration of your tournament. Before approval, we will discuss your event timings. You are advised to schedule roughly 30 minutes for player registration.

► You must follow your event timings so as not to impact events after you, or you will have to cut your event short. Furthermore, you should be realistic when discussing these timings before approval.

► If your event overruns, or does not adhere to schedule, it may be ended by UKGE staff to avoid further delays, and your event may not be approved in the following years.
