Seminars, Workshops, Panels and Others
These events usually take place inside the Piazza Suites at the NEC. The area provides a variety of rooms with capacities ranging from 30 to 150 seats, with both theatre-style and workshop-style layouts.
Relevance
All events must be relevant to tabletop gaming or some aspect of UKGE and should not overly promote a product or service. There should be engaging content for visitors. Submissions with heavily marketing-oriented content will not be approved.
Priority
If you are submitting an event on behalf of a company or a publisher, priority will be given to those with a stand or presence at UKGE, offering content with broad relevance to visitors, rather than those who are attending solely to promote themselves or a product through a seminar event.
Gratis?
We prefer these events to be unticketed, meaning anyone with a valid UKGE entry ticket can attend, and seats are unreserved. Speakers will be provided with a complimentary entry ticket for the day of their event, but there will be no payment for appearance fees, transportation costs, or accommodation for speakers or organizers of these events.
Capture
While some of the event locations have the capability to record audio for future use, priority is given to events for visitors at UKGE. The equipment and setup at these locations are geared toward enhancing the experience for UKGE visitors, rather than focusing on the ability to record or produce media for later use.
Points to Consider...
Consumables
► If your event requires consumables, such as quiz prizes or materials for participation in a workshop, we can consider ticketing the event so that you can recover these costs after the event has taken place.
Your final ticket price should also include VAT.
► Sponsorship to cover these costs instead of a ticket price is only possible with prior agreement from the UKGE Directors.
Chargeable Events
If you wish to organise an event that charges entry fees for profit, there are additional factors to consider:
► The audience of followers, and your ability to promote the event, along with any similar events you've held before, will be important.
► You'll also need to determine the final ticket price, factoring in the cost of the venue and include VAT on the ticket price.
► Only a few 'for-profit' seminars and panels are approved each year. If your event has a history of charging an entry fee, it may be more suitable for the Live Entertainment schedule. We're happy to discuss your event and the possibility of hosting it at a future UKGE. These conversations are held from June to August each year.
► We will collaborate with Event Organisers to schedule approved events at the most suitable times for the proposed content. Early submissions will have a wider range of scheduling options available. Event Organisers should be open to being flexible with their availability. While we will attempt to avoid scheduling similar events at the same time, this may not always be feasible.
Event Timings
► Events should not exceed 60 minutes in duration. We will allocate time between each event for setup and for attendees to be seated, as well as for them to depart. However, the time between events will be shared with the preceding and subsequent events.
Important Notice
► Events requiring extensive setup are less likely to be approved. Longer events may be considered but are unlikely to be scheduled during peak UKGE times.
► Please ensure that your contact details on your UKGE account are up to date. We will make every effort to email you to inform you whether your event has been accepted or declined.
► If your event is accepted, you'll be added to a mailing list through which we will communicate all event information to all hosts.
(This mailing list will only be used for the year for which you have events in the Seminar schedule).
► If you choose to unsubscribe from this mailing list, you will not receive the required information to run your event.
